Marquee Arts is a Michigan based non-profit organization committed to keeping community inspiration alive through the preservation and programming of historic theaters. Curators of film, theater and live entertainment, we proudly oversee the operations, upkeep, and artistic direction of the Michigan and State theaters in Ann Arbor, Michigan. Marquee Arts is the founding entity for Michigan's Cinetopia Film Festival and curator of the Not Just For Kids performance series. Rooted in Michigan's artistic history, the organization is committed to producing state of the art creative programming, unparalleled in diversity, quality and scope.

Marquee Arts is seeking a highly organized, proactive, and strategic Executive & Administrative Associate to provide direct support to the CEO. This individual will play a critical role in managing key administrative functions, coordinating complex projects, and ensuring smooth internal operations. The ideal candidate excels at breaking down high-level strategic initiatives into manageable action plans and has outstanding written and verbal communication skills.

Essential Functions

Executive Support

  • Manage the CEO’s complex calendar, including scheduling internal and external meetings, prioritizing requests, and coordinating logistics.
  • Serve as a liaison to internal leadership, board members, community partners, and donors.
  • Facilitate communication between departments and assist in tracking deliverables on major initiatives.
  • Organize and maintain confidential files, reports, and sensitive documents.

Project Management

  • Support the execution of key organizational initiatives by translating strategic goals into clear workflows, timelines, and accountability plans.
  • Coordinate with department leaders to ensure cross-departmental alignment and progress tracking on special projects.
  • Assist with developing agendas, follow-up materials, and action plans for internal and external meetings.
  • Monitor project deadlines and proactively flag risks or roadblocks.
  • Create reports, summaries, and dashboards to communicate project status to the CEO and Board of Directors.

Board & Leadership Support

  • Prepare agendas and materials for Board and committee meetings; attend meetings, take minutes, and track follow-up items.
  • Coordinate communications and logistics related to the Board of Directors and executive leadership team.
  • Maintain up-to-date board records and governance documents.

Special Projects & Events

  • Provide planning and execution support for internal and external events, donor gatherings, strategic retreats, and milestone celebrations.
  • Coordinate logistics, guest lists, catering, and materials for CEO-hosted functions and engagements.
  • Serve as a key point of contact for CEO driven initiatives.

Work Environment: The work is primarily indoors within a theater building(s) and may have some exposure to fumes, odor, dust, etc. The noise level in the work environment is usually moderate to loud.

Physical Demands: While performing the duties of this job, the employee is regularly required to talk and hear. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. This role requires walking and standing and sitting at a desk for extended periods of time. This role also regularly requires reaching, standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing stairs. Extended computer use is required. The employee may lift, push, pull and/or move items that weigh up to 25 pounds.

Required Education and Experience:

  • Bachelor's degree.
  • 5–10 years of experience providing high-level executive administrative support.
  • Exceptional written and verbal communication skills.
  • Strong project management experience with demonstrated ability to move complex initiatives forward.
  • Detail-oriented with the ability to work under pressure and manage multiple priorities simultaneously.
  • Discreet, trustworthy, and able to handle confidential information with the highest level of professionalism.
  • Adept at building relationships, fostering trust, and navigating sensitive organizational dynamics.
  • A strategic thinker who can act tactically.
  • Resourceful, organized, and responsive.
  • Collaborative and service oriented.
  • Excellent judgment and emotional intelligence.

Preferred Education and Experience:

  • Advanced degree or relevant certifications.
  • A belief in the mission of Marquee Arts and the importance of historic theaters in the community.

Compensation & Benefits:

  • The salary range is $70,000 to $75,000 annually.
