Overview

Objective:
Support the Program Management Office (PMO) within the organization, standardization, and ongoing maintenance of program documentation and deliverables within SharePoint to improve project documentation consistency and readiness for AS9100 certification.

Background:
The PMO supports multiple active programs with varying levels of documentation maturity and consistency of storage practices. As the organization moves to a standardized SharePoint-based project structure and prepares for AS9100 certification, these inconsistencies need to be addressed. This internship role will support Program Managers by ensuring program artifacts are properly stored, complete, and maintained in accordance with PMO standards.

Responsibilities

  • Organize existing documentation and deliverables into approved PMO folder structures
  • Apply and enforce standardized file naming conventions and version control practices
  • Migrate documents from legacy, personal, or ad hoc locations into approved repositories
  • Audit program folders against PMO standards and AS9100-aligned document requirements
  • Maintain checklists or trackers documenting compliance status by program
  • Support audit readiness by ensuring documents are current, traceable, and accessible
  • Proactively follow up with individuals who have not uploaded or completed required documentation
  • Escalate missing or overdue deliverables to the Program Manager with clear status and context
  • Maintain accurate tracking of completed, in-progress, and outstanding documentation activities
  • Provide regular status updates to the Program Manager or PMO lead

Qualifications

  • Currently enrolled in an undergraduate program in Business Administration, Project / Operations / Supply Chain / Quality Management, or Organizational Leadership
  • Proficiency with Microsoft 365 tools such as SharePoint, Teams, and Excel
  • Ability to work within defined standards, checklists, and governance frameworks
  • Ability to follow established processes and enforce consistency
  • Clear written and verbal communication skills, including professional follow-up
  • Ability to work independently with guidance from a Program Manager or PMO coach

ITAR REQUIREMENTS: To conform to U.S. Government International Traffic in Arms Regulations (ITAR) the individual must be a U.S. citizen, lawful permanent resident of the U.S., protected individual as defined by 8 U.S.C. 1324b(a)(3), or eligible to obtain the required authorizations from the U.S. Department of State.
