A Brief Overview
The Administrative Assistant will play a critical role in supporting the CEO and ensuring smooth operations during the launch and growth of ASICS Institute of Sports Science America (ISS America). This position combines executive support, cross-cultural communication, and coordination with internal and external stakeholders. The role requires exceptional organizational skills, bilingual proficiency, and the ability to thrive in a dynamic, startup-like environment
We are seeking a highly organized and bilingual Administrative Assistant to support the CEO and ensure smooth operations during the launch and growth of ISS America. This role combines executive support, cross-cultural communication, and coordination with internal and external stakeholders. The ideal candidate thrives in a dynamic, startup-like environment and demonstrates exceptional professionalism, flexibility, and initiative.
What You'll Do
-Back-Office Coordination (40%)
Organize and summarize HR, finance, and legal reports provided by ASICS America
Support CEO’s decision-making processes related to HR, finance, and legal matters
Bridge communication gaps between U.S. and Japan offices; ensure cultural alignment
Prevent misunderstandings arising from cultural differences
-External Relations & IR Support (10%)
Arrange and manage facility tours for retail partners, investors, and visitors
Coordinate administrative communication with ISS headquarters in Japan
Prepare and follow up on PR activities and visitor engagements
-Partner Institution Coordination (15%)
Facilitate non-research communication with partner universities (e.g., University of Michigan)
Track contracts and administrative processes; ensure timely follow-up
Schedule meetings and maintain accurate records
Coordinate interviews and meetings with visiting guests, group company members, and executives
-Executive Support (35%)
Manage CEO’s complex calendar, including domestic and international travel
Prepare meeting materials, take minutes, and ensure follow-up actions
Handle travel arrangements (airfare, lodging, transportation) and expense reporting
Oversee office operations and visitor reception
Maintain confidentiality of sensitive documents and research information
Provide comprehensive support for CEO’s operational needs (IT, mail handling, shipping/receiving, etc.)
How You'll Be Successful
Full professional proficiency in English and Japanese (spoken and written)
Strong organizational and multitasking skills with the ability to prioritize effectively
Advanced proficiency in Microsoft Word, Excel, and PowerPoint
Excellent cross-cultural communication and interpersonal skills
High level of discretion and professionalism in handling confidential information
Ability to work independently and take initiative in a fast-paced environment

What You'll Need
Bachelor’s degree or equivalent experience
Minimum 3 years of administrative support experience in a professional setting
Demonstrated experience managing complex schedules and travel arrangements
Proven ability to handle sensitive information with confidentiality
Experience in a startup or small organizational environment
Familiarity with research institutions or university settings
Background in international or multicultural work environments
Project management experience or certification
Must be proficient in reading, writing, and speaking English and Japanese
Working Conditions
Full-time, hybrid work model: On-site at University of Michigan office 1–2 times per week; remote flexibility
Occasional travel: Up to 1–2 times per month (domestic and international)
